AA,
In order for you to get the discounted rate would it be worth considering sending a few people ahead in advance of the main group to book the lanes before the 4:30pm deadline? Is this possible or do they need to see the size of the group/everyone's NUS cards in advance? Would this be a litle inconvenient in terms of paying i.e. are people paying individually or as a group?
In terms of options - Number 3 seems good value for money, though is everyone keen to play video games?
I'll leave it to you guys (don't think I'll be there myself on the day as yet).

Salam, Would it be easier to take the bus from the bus stop in front of the cruciform\UCL quad instead of the tube? i think with large groups it would take a long time getting on and off tubes, and switching lines, up and down escalators, especially if we are in a rush. Another thing, from the Royal free, people will be taking the 24 back to uni. Does that bus not carry on to go straight to leceister square area?? i´ll just double check this on the transport for london website. taking a bus to leicester square shouldnt take more than 15 mins, and it would be cheaper. Although i think warren street is also on the northern line right? so it would be like 3 stops straight.. so like 10 mins max. Maybe that will be better. What do other people think about this? I think 405 is fine but thats if youre relying on people from other sites to make their own way. of course we can always get volunteers to guide them formt the other 2 sites, but the freshers booklet team need this info ASAP. I think that if possible like shayan said we should have maybe 2 ppl already at Trocadero before 4.30 to book for the lanes for us, but then ask them if this is possible....dont mention whether we all need to be there with the nus cards before hand in the email incase they change their mind after reading that! lol...Ask them as well whether our ucl id's will be acceptable..i dont have my ucl id handy, bt duz it have nus writtn on it anywhere? if so mention that in ur email...
About time, i would stick to 4.15 meeting outside cruciform if we can have ppl already there to book it for us before 4.30 like shayan said, if not then i would say 4.05 outside cruciform, and mayb hav ppl wiating at the diff sites? what u think?
About the options...the thing is, if i remember correctly, last year we went bowling and had i think 1 game of bowling..unless my memory isnt what it used to be and we actually played two...lol..anyway, i was thinking what with the little time we have i.e. lets say we actually get started bowling by 4.20 the earliest, one game would take us to maybe 5 o clockish ? wed be left with around 45 mins with nothing to do...
from this i conclude 2 games would be better, so option 3 wud be good, HOWEVER this is £8.95, and for freshers strapped for cash, and who are going to go to dinner afterwards this fee might not seem so appealing..
so basically im saying if we can get 2 of option number 1 each...which would mean £6 for 2 games of bowling...and if not then option 2 which would be £4.95 for 1 game of bowling, and after that we can go on the bumper cars, and after that play some video games...it will kill time, AND itll cost a reasonable fiver...
What do you guys think?
20 ppl over 3 lanes should be fine i think...
One last thing guys, what do u reckon about the isoc subsidizing some of this event? Remember that were going to b going to dinner after..depending upon how many ppl turn up we could end up paying quite a lot of our limited fund....watever u guys think..let me no...

Thanks guys for your points. I can see where you’re comin’ from with this idea of sending two people over to Trocadero before 4.30pm. For sure, I think that should be done. Only prob is that we actually need to physically start bowling before 4.30pm.
What I’m tryna say is that even if we have the lanes booked i.e. two guys ‘patrolling’ 3 lanes, if any freshers or any of us arrive after 4.30pm we can’t just ‘sneak’ them in on the discounted price just coz there’re part of our group (coz they have to get shoes remember!), even if most of the group arrives before 4.30pm. Obv if any of them are late and a little low on cash as a result we can help them out, that shouldn’t be a problem.
About the NUS thing, I’ve emailed them and we’ll see what they say.
With the bowling options, looks like opinions are split. In terms of money available I’m not too sure where we are (are we rolling in cash?), so for the time being we’ll go with Rashid’s ‘reasonable fiver’ theory, (which makes sense) and so a throw up between 2 of option number 1 each (so 2 games bowling total) at £6 and option number 2 (1 game bowling, bumper car and 3 video games) at £4.95. As far as killing time is concerned, 2 of option 1 would take longer probably until 5.30pm, so for the remaining half hour could everyone just arcade it?
I think it’d be great if the Isoc could subsidize a part of this event. To be honest I’m not too sure about the technicalities of this but if we’re going ahead with plans to have RUMS sponsored Iftar (i.e. we pay, pick up, set up and pack away Iftar) maybe 3-4 times during Ramadan, things may balance out finance-wise.
Any other thoughts on this would be great (before the booking). Thanks for all your input.

salam al alaikum, i wouldve said def option 2 coz is good price for freshers, plus you also get to go on the arcade which sounds really excitin, and 2 video games sounds jus right, an i dont think many people would want to play 5 video games, unless ur a brother of course!

Having thought about it a little I too agree that Option 2 makes best financial sense. Regardless of whether or not we're able to subsidise things it may be a little expensive if Freshers need to fork out close to £10 for the bowling plus a similar amount for dinner (I presume?).
If the event works out close to £20 all-in this may put freshers off from attending this/future events. So maybe Option 2 would be the best compromise, I'll leave it to you guys.

Good news from Trocadero: the NUS logo on session card is enough for us to get thru on student prices, so saves hassle of getting NUS cards.
So we’ll settle for Option 2 (1 game bowling, 1 bumper cars and 2 arcade tokens). That will probably take us about an hour (till 5.30pm), but if you have any other ideas to take up more time (ideally till 6pm) let me know.
So just one more time, this is where we’re at.
Venue: Trocadero (Bowling) and Regents Park Mosque (Iftar/Maghrib) and Edgware Rd (Dinner) Date: Thursday 5th October 06 Meet: Outside Cruciform at 4.05pm (Add to freshers booklet NOT 4.15pm) Time: 4.20pm to 6pm (Iftar is at 6.30pm on that day) Numbers expected: 20 over 3 lanes (6/7 per lane)
So this is pretty much final and I’m gonna book this, ok?

Just thought I'd add my vote Samir - the details seem fine to me.
Having read the details (here comes the BUT), I just thought that if we have Iftaar at 6:30ish then are people going to want to have dinner soon after (not sure what time you guys decided for dinner)? I myself will most likely be able to make dinner only (which I'm looking forward to) but either way I think I'll leave the decision to you guys.

salam al alaikum, objection! ....jus before u publish it.... spent while lookin at tube times for hospital sites by tube to piccadilly circus - takes approx 15mins on tube (or little less) an then like 10 mins walkin either way, so bout half hour? - unless picc. circus is in troc... would this be a problem if everyone leaves at 4.05 and we're supposed to reach before 4.30?? or shud we inshAllah make it on time, an these are conservative estimates? i dnt kno bout the bus routs to ther whether theyd be quicker, is there rush hour at 4pm does anyone kno? an i havnt really looked up bus times or routes yet.... for all the tube stations, as far as i kno, u need to make one change whatever line u get on at UCL-can get at any of the stations nearby ROYAL FREE - Belsize Park or Hampstead; Northern Line Archway - Archway tube northern line also for the tubes they need to be careful which trains they take - ie should we provide travel tips/directions saying eg. from Archway, you can take any of the southbound trains headed for ...., ...., .... etc. ? i wudnt mind meetin ppl at the royal free (or bloomsbury) if the med school dont have anythin planned for us before 4; maybe we should put in the booklet if we're plannin to meet em at the sites?oh yeh, an i like the idea of goin to edgeware road, i think i prob suggested it as well, but on second thoughts, would bayswater be cheaper? or actually....if we get wraps to eat then theyd be really cheap an edgeware road would still be good, but i guess people can have tht option on the day...so this point doesnt really matter.... an about the plan, shud we say, "rums isoc hav meticulously planned this, so dont be fooled if it looks like loads to do, the plan has been discussed and the timing shud not be a problem inshAllah and we'll get u home soon enough " or somthin like tht but better said.....coz a concern....some ppl, tlkn from experience from last year, may be a little concerned tht it goes into after dark; would they be do u think, is there any thing we can say so they dnt get concerned? or would they come expecting goin home a little late in freshers fortnight? shud we also say mayb tht some of us will be headin bak towards ucl, so can go as a group on the way bak, an also, say if people are heading bak through other routes, eg .... line to eastlondon/west london etc....? or do people not think tht this is a problem tht is worth addressin, ie inshAllah it shud not be a problem? thanks samir for postin their contact details, an for lettin judy know, i dnt think therell be anythin tht i need to change tho, plan sounds good oh yeh, has anyone found out if they accept people coming in before 4.30 and some others arriving later, in order to get the discounted offer? i wrote it down to call them up, but forgot...so if noones found out, i can inshAllah call them sometime anyways, jus realised, i post long posts an not everyone may like....sorry, will try an keep in mind to keep em short next time wasalam all yasmin

im on to making the advert for the bowling event, using the background that yasmin suggested (the escalator with neon lights in Trocadero) however beacuase that image is pretty dark the advert isnt coming out as great as expected...
What ill do is ill try attach or put up the image somehow, and u guys can tell me what it looks like once its done?

Salaam guys,
There’s a problem, I spoke to Judy at Trocadero and she's now telling me the bowling is booked out exclusively on that day. I know this messes things up a bit. We need to find another date.
The only option I can think of is Wednesday of that week. I know those afternoons are booked for sports but if lectures end at 1pm, there’s 3 hours till 4.05pm. I know this is not ideal but I wanna sort this out today.

You're right this is a slight problem but inshallah we can work around it. Since Thursday 5th October is no good I can really only see two possibilities - Wednesday 4th as you mentioned or the following week (maybe Thursday 12th?).
I myself think leaving it for the following week might be a little too late as the new students will have been at Uni for 3 weeks by this stage so maybe the best option is to go for the Wednesday (04/10/06). In general we avoid Wednesdays due to sports (and this maybe Sports Trials day?) and often people like to go home early... however if we have an event lined up hopefully they'll stay. I'm not sure what you guys think is best - normally I'd have said Thursday but it depends if you would like to wait till the following week.
