Meeting Minutes (21st October 2008)
There are omissions and perhaps mistakes herein
- The running total of tickets sold is 204
- Ms Ayesha is reminded to send email concerning change of venue
- The deadline for confirming the food order with the caterers is 5 pm in an afternoon
- Salim is to acquire drinks from Cosco
- 80 bottles of drink is thought to be sufficient, with 25 being cola, 25 being orangeade, and 30 being water (and if this is not sufficient, perhaps more can be purchased on the night itself)
- Dried dates and nuts are to be acquired from Cosco (by who?)
- 5 brothers are to serve food, which would prevent individuals from accidently taking too much
- Desserts are to be distributed through the buffet system
- Chocolate fountain is now considered unneeded (Ms Esra?)
- Illuminable jackets are to be given to one guide at the door, another at the quad’s gate, and another at the Cruciform. These jackets are currently in the Contemplation Room.
- Ms Madeeha is to attend to the back entrance of the Cruciform, while a brother is to attend to the ground floor lower level entrance.
- Nihad is to get microphone from AV for use at Cruciform
- Ibn Jabal is sponsoring the event, with a table of theirs to be at the entrance, another in the ladies’ section, and another in the brother’s section. Furthermore, they are to have a 5 minute presentation at the event
- Nihad is to start the event, Ismael’s brother is to thence recite a reading from the Holy Qur’an (with a rendering of the meanings into English projected onto screen), and the scholar is to afterwards speak
- Ladies are to start collecting food at 8:30 and brothers at 8:40. Food is to be served completely by 9:20 (?)
- 30 to 40 containers are needed for ladies to take food with them should they leave early
- Poster-boards are to be displayed in Cruciform LT1 and JBR
- Food is ordered for 240 people, at £4.50 per head.
- Hasan to receive drinks (?) on Wednesday from Salim
- Ms Ayesha is to return AV equipment next day
- Caterers are to arrive at 6:45.
- People (?) must be chased up for money BEFORE Friday. Furthermore, something was mentioned about buying back tickets.
- Current status of decorations?
- 35 minutes is currently allocated for auctioning and fundraising, though this may increase
- 8 items and apprentice items are to be made available
- Decorations to be assembled by Ms Sofia, Ms Esra & Ms Sana + others?

- People are needed for guidance on the routes, keeping lines straight e.g. at the buffet, and compacting the audience to the front rows of the Cruciform.
